AFE THEATER VOLUNTEER DUTIES

CONCESSIONS SET-UP/ MANAGER:

  • Arrive 45 minutes prior to performance
  • Have custodian (ask at front desk) open the room. Re-lock it and work with your helpers to set up (2 -3 tables for baked goods and 1-2 tables for beverages)
  • Cover with tablecloths and set out vases of flowers, if possible
  • pre-cut cakes, pies, and other desserts (all or half of each) so you can serve quickly
  • decide on price for each item and make a small nicely printed sign with item name and price. {Pricing is usually: $.50 to $1.00 for cookies or small brownies, $1.00-$2.50 for cakes, pies, or other desserts. Charge enough to make back what was paid and make a profit. Fancier, in-demand stuff should be $2-$3.
  • plug in crock-pot, if selling cider, hot chocolate or chai.
  • set out utensils, plates, napkins, and cups
  • If you have a lot of items and will have repeat performances, consider saving those that will last until next performance and don’t set them out at all.
  • when done setting up, cover the baked goods lightly with wrap or foil or lids
  • lock or get custodian to lock-up room. Bring cash box with you (get from Judy or house manager).

TICKET TAKERS:

  • Ticket prices are: $8 general $5 student/senior/handicapped
  • Ask patrons to pay cash, or check made out to AFE Parent Fund
  • THE DOOR opens at 6:30 (wait for house manager to cue you to open it)
  • Please set up a table inside the entrance to the auditorium (street side)
  • Place tablecloth and flower arrangement on table, if available
  • Get cash box from Judy or House Manager and recount starting cash together
  • Arrange programs to be handed out
  • Remind patrons to take program and to get a parking pass from the office, if they will be parked longer than 2 hours during any time before 8:00
  • at least one person should stay until 5 minutes after the play has started and then close up the front door and bring the cash box to house manager or place under your seat until you can give to the house manager.

CONCESSIONS SALES:

  • If you are the one to open up the room, please leave the play 5 minutes before the

intermission begins and go get custodian (at front desk or in the halls)to open room. (Find out the 5 minute cue from house manager or director).

  • have custodian re-lock door and keep closed while you uncover items, etc
  • prop open door when the rush comes
  • uncover food trays and plug in crock-pot if needed
  • Ask helpers to head quickly to concession room as soon as intermission starts

(We usually need 2-3 at baked goods table (sometimes 4, if really busy at first) and 1-2 at beverage table.

  • Make sure each item has a sign with price
  • Take orders from customers and give change; put money in cash box.
  • Cover food; put drinks back into cooler or unplug crockpot at end of intermission.

CLEAN-UP:

  • After play ends, head to concessions and help to pack food in cooler and tubs for

next night and store backstage OR if we have scheduled the room the next day and no other groups are using the room, we can cover and pack items and leave on the tables. (Make sure no rodents can get into containers)

  • Wipe off utensils, serving plates and tables, and put tables away outside of room (unless we can keep them up until next performance (check with front desk)
  • Dispose of trash and empty trash cans (ask custodian)
  • Sweep floor, clean up and close up / Make sure door is already locked or custodian locks room
