Before you organise an event
Check the program to see if there's another event at the same time. It's best to have events on different days or at different times, although with an increasing number of events, this isn't always possible.
Try and ensure the event is arranged far enough in advance. Ideally, emails should be sent out a minimum of 24 hours before to allow time for the email to be sent and received.
The program on the website can only be updated when we know about your event. Once you've decided to organise something, email aclubbrussels@yahoo.com to let us know.
Please also tell us if you are unable to organise something which is on the program, or if the event details change. It can only be kept up to date if event organisers let us know the plans.
After the email has been sent
If you say you are going to organise an event, you're committing to actually organise the event, and to be there at the time you say.
If for some reason the event cannot go ahead, you should do everything possible to let people know, or to do a substitute activity instead.
- If an outdoor event cannot take place due to the weather, you should at least turn up to tell people what's happening. It's not good if people hang around waiting for an event which never takes place.
If there's some event that you think might be a good idea, but can't commit to organising properly, we suggest that you put a notice up on the forum instead ( http://aclubbrussels.hostrocket.com/forum ).
During the event
Remember, A-Club regularly has new members. We want to make every event we organise suitable for people who haven't been before.
Try to make sure that everyone feels involved - i.e. try to avoid cliques which don't welcome new people.
Costs
As an event organiser, take responsibility for ensuring that everyone pays their fair share. Don't rely on other people to speak up on the subject of money.
- If car-pooling, total up the cost and divide it by everyone
- When visiting a restaurant, don't just split the cost equally if some people have ordered much more expensive things than others. Try to keep things fair.
