-- Job Description: (Ref code: IMCO-ARC) Under the general supervision of TCEO and FAO Representative in Indonesia and the direct leadership and supervision of the FAO-ARC Project Coordinator, the Project Information Management and Communication Officer will perform the following tasks:

  • Overall:

a). Provide support in carrying out information management, communication and visibility activities for the OSRO/INS/601/ ARC project currently under implementation and b). Prepare and plan with the project team a simple communication strategy and annual workplan highlighting main communications activities and project implementation events in support of the four project components (e.g. the Fisheries Forum meeting, training of community motivators, etc.) and outreach fishing communities.

Information management: - Assist in systematically organizing and classifying existing and new information regarding the project and its work (common share drive, filing system of hard copies, library, archive, etc...). In particular, update, organize and categorize photos in photo archive on the shared drive. - Consolidate information provided by project staff for the preparation of draft progress and final reports and various project documents. Reports should include photographs and maps, as appropriate and be prepared according to FAO house style and manual. - Maintain an up-to-date tracking list or database of various documents, technical and progress reports produced by the project. - Support the timely clearance of draft project progress reports at the field level before forwarding to TCEO for HQ clearances and submission to the donors. - Assist in the drafting of project profiles/documents by consolidating technical elements provided by various technical project staff.

Communication and visibility: - In close coordination with the four project components, prepare and organize, possibly via an LoA with implementing partners, outreach and communication and awareness activities for the project. - In close coordination with the four project components and following one coherent approach, prepare design work for project visibility products, including banners, promotional material (t-shirts, booklets, brochures, presentations, etc.). - Promote visibility of the FAO-ARC project through active information dissemination locally and nationally and with inputs from FAOR at national level and from FAOHQ at international level. While doing so, ensure that information coverage adheres to specific requirements as stipulated in ARC-FAO agreements. - Research, arrange and conduct interviews with FAO experts and partners on the project interventions and independently write project news stories for sharing with the donor, ARC, and possible global dissemination after ARC and FAO HQ clearance. - Assist and facilitate external media productions such as professional photo and video coverage of FAO project activities. Participate in media briefings and accompany media during field visits, upon request. - Liaise with local print and audio-visual media for dissemination of project outputs to the wider communities - Assist in website set up and use for key partners such as DKP for the overall fisheries sector in Aceh Province. - Photograph events and project activities, beneficiaries, project sites promoting the project and giving visibility to the donor ARC, and relevant implementing partners and local authorities involved in the project;

Other: - Liaise with local suppliers for printing and delivery of communication materials and assist in carrying out administrative functions in the preparation of local purchase orders (LPOs) and purchase requisition orders (PROs); - Liaise and follow up with finance on all purchase orders to ensure payments made to suppliers for communication activities; - Liaise with the FAO RSCU Banda Aceh International Communication Specialist for advice on some of the outreach material products and obtain necessary clearance from FAO Rome HQ regarding the use of the ARC logo as per project grant agreement specific section; - Perform any other related duties as required upon request by the Project Coordinator and indirectly by his team, and support day-to-day implementation of project activities, as requested

  • Qualifications and Experience

A. Essential: - Bachelor Degree in communication or journalism or advertising or information management - At least ten years of experience in developing and producing outreach materials and in communication strategy - Thorough familiarity with common media software - Working knowledge of English and Bahasa Indonesia - Strong organizational skills - Ability to plan the work and meet deadlines - Ability to communicate clearly and concisely - Ability to work productively and maintain effective working relationships with people of different national and cultural backgrounds

B. Desirable: - Demonstrated experience in information management and communication strategy implementation - Proficiency in Acehnese desirable - Experience from FAO field programmes in tsunami affected areas - Working relationships with media in Aceh or nationally
